RallyUp Feature: Experience Pre-Registration

Hi RallyUp partners,

We're excited to introduce our new feature, "Experience Pre-Registration." With this, you can pre-register donors before an experience goes live or when the fundraiser is in process.  This new feature will make your fundraising smoother by collecting key donor information in advance.

Add logic for the jackpot element for lottery raffles, Release Date: August 15th, 2024

The team has improved the logic when an organization hides the cash prize on the Experience Page for prize specific raffles.

Previously, if you enabled a 50/50 raffle while the jackpot element is showing and hide the cash prize, the "Enter now" button scrolls to the prizes section (see screen recording).  There was no option to enter since the prize is hidden.  

For prize specific raffles, if the cash raffle prize is hidden from the Experience Page then there was no way for supporters to enter to win the 50/50 raffle. The application now hides the "Enter now" button on the jackpot element in this case.

Add New Buy-It-Now Setting and Logic, Release Date: August 22nd, 2024

The application now has two additional settings for the Buy It Now logic: (1) a new setting on the Experience-level that lets organizers choose if donors can place bids higher than the buy-it-now price, and (2) a partner-level setting that sets the default of the Experience-level setting.

Organizers can also set the buy-it-now price equal to the starting bid.  Users will not see this modal and should be able to save the item as-is. In the case where this setting is disabled (i.e., users cannot bid higher than the BIN price) AND a user has set the buy-it-now price equal to the starting bid, then when the Experience is published (or the item is saved), the application now only shows the Buy-it-now button and hides the "Place bid" button immediately.  See example here.

The application does not allow organizations to set the starting bid higher than the buy-it-now price. So this modal should reflect the new logic and say: "The Buy It Now price must be equal to or greater than the Starting bid (Starting bid amount goes here)."

Based on new logic added previously, the count of bids element and remaining bids element whenever the place bid button are hidden.

Please refer to the instructions below to enable in the Experience Setup:

  1. New setting in "Options" > "Checkout options" 
    1. This toggle activates the new logic: See screenshot. 
    2. Enabled logic
      1. This setting when enabled, allows organizations to bid over the buy-it-now price. In this case, donors will no longer be stopped when trying to bid over the buy-it-now price and will be allowed to bid without interruption.  They will not receive this previous warning message when trying to bid over the buy-it-now price.
        1. In this case, the buy-it-now modal will only show if the bid the donor is trying to place is equal to the buy-it-now price. Other than that, this modal will never show. 
      2. When enabled, if the current bid is greater than the buy-it-now price then we the application hides the buy-it-now price. 
    3. Disabled logic
      1. See example campaign: See screenshot
      2. When the setting is disabled and the current bid is equal to or greater than the buy-it-now price, then we should hide the place bid button and only show the buy-it-now button. 
      3. Existing bids will still hold their place as winners until the Auction items have been bought via Buy-it-now in accordance with existing logic. 
      4. Any other time, both the place bid button and the buy-it-now buttons will show in accordance with existing logic. 
  2. New partner-level setting to set default for new setting
    1. There is a partner-level setting that allows partners to specify if the Experience-level setting added in the last point (see screenshot) should be enabled or disabled by default. 
      1. When this option is enabled in partner setup, the Experience Setup setting will be turned ON by default for all created Experiences. 
      2. When this option is disabled in partner setup, the Experience setup setting will be turned OFF by default for all created Experiences. 
    2. By default, this setting is disabled/turned OFF.

"Remove Calculate Amount Raised Option For A-Thons," Release Date: 8/8/2024

The team has removed the Calculate Amount Raised option for a-thons here (see screen recording). This is no longer needed now that we calculate the amount raised for a-thons as the Experience progresses.  See screenshot here.


"Allow Experiences Using Promo Codes to Pass Stripe Fees," Release Date: 8/6/2024

The application has been updated to allow for use cases where an experience has a promo code but still wants flexibility on how to pass Stripe fees.
 
The following options will now be available when a campaign is using a promo code; reference screenshot here.
  1. Selecting "Automatically deduct the fee from the funds raised" will show an "Add a convenience fee to each donation" setting
  2. Selecting "Automatically add the fee to each donor's donation" will show an "Also automatically add the payment processing fee to each donation"
  3. Selecting "Ask donors during checkout if they will pay the fee" will show an "Include the payment processing fee when asking donors to cover the platform fees"
The application keeps the same logic of showing the settings for convenience fee, adding payment processing fee to each donation, and including payment processing fees when asking donors to cover fees. 
 


"Add Optional Secondary Twilio Phone Number," Release Date: 8/6/2024

The application now supports an additional optional Twilio phone number for text to give and auction outbid text notifications.  This is specifically for partners who use short codes, but also need to reach international audiences with a toll-free number.  If you do not need an additional Twilio option, no additional action is required.

"Participant Export Add Discount information" Release Date: July 31st, 2024

The team has added a "Discount Price" column to the Export Participant report export.   This would display the adjusted price if a discount code was applied, otherwise the export will display the original registration price. This column would appear after the Registration Price column.

Flat amount discounts will subtract the flat amount from each registrant purchase. For percentage discounts, the report will display the registration price minus the percentage discount on that individual registration price. For example, if 3 tickets were purchased together with a 25% discount, then the application will display each one with a Discount Price = [Registration Price - (Registration Price x .25)]


"Meta Pixel and GA Tracking on Receipt/Confirmation" Release Date: July 31st, 2024

The team has updated the metapixel and google analytics tracking to have the global site tag be placed on the checkout/confirmation pages.  This allows better tracking to measure conversions throughout the entire donation process.

"Zapier Ticket and Tables Endpoints" Release Date: July 31st, 2024

The team has updated the EventTickets collection of the Event Ticket Purchased Trigger to include the following additional fields:

TicketPrice, (TicketGroupPrice / TicketGroupTicketsCount),
RegistrantFirstName,
RegistrantLastName,
RegistrantEmailAddress,
RegistrantMailingAddress,
RegistrantPhoneNumber,
RegistrantCustomFields

The ticket price is now passed through the GroupPrice/NumberofRegistrationsIncluded or GroupPrice.


"Prevent Registration Submissions After Ticket Sales End Date " Release Date: July 17th, 2024

The team has changed the logic of the registration page so that attendees cannot fill out the registration page after the ticket sales end date has passed. When the time has passed and someone tries to access a registration page, even if there are still tickets left on that particular group, the application shows this state of the registration page. If a user runs into this case, then they can simply contact the organizer of the Experience.


"Prevent Registration During Draft Mode" Release Date: July 11th, 2024

To better assist the draft mode functionality for campaigns, anonymous users will not be able to fill out this registration form.  Campaign organizers, staff and sysadmins can still register in draft mode, like draft mode for Checkout.  To anonymous users, the submit button will be disabled.  Upon hovering over the button, the application will inform the user: "This [Experience] is not live yet."

Add Fundraising Destination to Organization Admin Table, Release Date: 7/11/2024

Automate Update of Legal Organization Name, Release Date: 7/11/2024

The application now automatically updates the organization legal name from GuideStar updates.  
  1. Verification of legal name via GuideStar
    1. For accounts who proceed with the Confirm your 501(c) tax exempt status step of Complete account setup, when they enter their EIN information and are verified, the application pulls their legal name when possible.
    2. The organization display name will remain unaffected.  


Reposition peer-to-peer as an Activity, Release Date: 7/11/2024 

The team has repositioned peer-to-peer as an Activity to better assist the user experience.  Refer to the following demo videos:

For additional details, refer below:
  1. Reposition peer-to-peer as an Activity Type
    1. See screenshot
    2. The peer-to-peer has been moved from the "Features" section to the "Activities" section.  Logically, it will work exactly the same with no changes. When multiple activities are selected along with the peer-to-peer activity, then we can treat peer-to-peer exactly how it is treated in the application now. 
    3. When the peer-to-peer activity is selected by itself (i.e., an organizer enables a solo peer-to-peer campaign), the application assumes the organization wants to run a peer-to-peer crowdfunding campaign (without perks). The application will enable the same defaults as when an organizer selects a crowdfunding activity without perks. I.e., enable and hide the general donations option in the "Checkout" step of Experience Setup.
    4. When users select the "A-thon" activity, by default, it is a multi-participant a-thon (i.e., P2P enabled). Therefore, the P2P activity button will be activated and unable to be changed. Only until the organizer selects that it's a single-participant a-thon should the P2P activity button be turned off and disabled.

      2. The application will continue showing the tooltip on the P2P activity buttons that currently show on the P2P feature setting.

    5. Due to this repositioning, there is no longer a need for the peer-to-peer setting to show in the "Features" section here. 


Update Preview Images in Experience Setup, Release Date: 7/11/2024

We have updated the various preview images in the application, specifically the preview images that are centered around the new Experience Page navigation for Activity buttons and Navigation tabs. See demo video here.
 

Improve Starting State of "Add ticket modal", Release Date: 7/11/2024

We have improved the default/initial state of the "add/edit ticket" modal. Previously, when the user tries to add a new ticket, they were greeted with two initial options. This initial state is a little bit confusing, therefore, we have improved this user experience as follows:

  1. Add New Starting State to the "Add ticket modal"
    1. See screenshot
    2. "[Ticket] type" dropdown
      1. This option shows all of the individual ticket registration types from Experience Setup. 
      2. When a ticket type is selected, then the "Package" dropdown (described in the next point) will only show the packages that have the particular ticket type as set in Experience Setup here.
    3. "[Package]" dropdown
      1. This option shows all of the registered packages on the Experience.
        1. If the package name was not collected in Experience Setup, then the application will show the package ID as follows: ID: 12345.
      2. Similarly to the "Ticket type" dropdown, when a package is selected, then the "Ticket type" dropdown described in the last point will be changed to the ticket type associated with that package. 
        1. If the package is not associated with any individual ticket types, then the application disables the "Ticket type" dropdown in the "No ticket type" state, and upon hover shows the following message: "The [package] selected was created without being comprised of an existing [ticket] type." 
      3. If there are no registered packages, the app hides this dropdown.
    4. The "Edit" state of this modal when editing an existing ticket does not change. 

Update Verbiage "For What" on Registration Page, Release Date: 7/11/2024

We have updated the verbiage of this line on the registration page here to "Event name."

Improve Recurring Donation Upsell for Donation Limits, Release Date: 7/2/2024

We have made updates to handle a unique case for Donation Pages where a user can implement a donation limit, and also a recurring donation upsell.  Previously, the upsell can offer a monthly amount lower than the donation minimum. When the user accepts the upsell and completes the transaction, they are met with an error letting them know that their donation amount doesn't meet the minimum required.

When there is a donation limit minimum added in setup, the recurring donation upsell offer will not offer a recurring amount less than that donation minimum.

For additional details, refer to below:

Let's use the default percentage as an example. Let's say the organizer sets up a donation minimum of $10, and a donor inputs a one-time donation of $12. The application would calculate the upsell to a recurring amount of $4.80 total ($12 * 40%). This is less than the donation minimum requested by the Organizer. Therefore, going forward, the upsell will now only offer an amount as low as the donation limit added by the Organizer. This means that the donation limit is the "floor" or the lowest amount that the upsell can offer. Then, in this case, the upsell should offer a monthly recurring donation of $10 as opposed to the percentage of that donation as specified in setup. This will allow the donation page to honor the organizers expected donation minimum and will help clean up the UX for the donor in this situation.

See screenshot: https://share.getcloudapp.com/kpuW4lYl The recurring donation upsell should also never offer a recurring amount less than one dollar since app validation would stop them from completing the transaction as well. 


General Donations Now In the Basics Section, Release Date: 7/2/2024

The team has moved the general donations option to the "Basics" section of Experience Setup.  The primary purpose for this is because currently, there are a few other features that are contingent on this setting, and it confuses the User Experience. 

For example, for the new "lottery raffle" features, the user has the option to select if the lottery jackpot should be calculated on the entire Experience amount raised or only on the raffle activity amount raised (we also have an option where the user can choose to select if the lottery jackpot amount can be calculated on the prize-level for the lottery raffle item for prize-specific raffles). However, these options don't show for solo lottery raffles. Therefore, if the user enables a solo lottery raffle, then by default the entire Experience amount raised should go toward the jackpot. 

One main issue with this existing logic is that the organizer is able to enable "General donations" in the Checkout section of Experience Setup.  With this option selected, the general donations are automatically included in the jackpot amount raised which is unexpected for some users.  Now the user can choose this behavior for additional clarity.  Therefore, we have made two changes: 

  1. Move the "General donations" option to the Basics step of Experience Setup.
  2. Show the "Choose how to calculate the lottery prize" option when general donations are enabled from Basics Section.

 

  1. Move the general donations options to the Basics Step of Experience Setup

    1. The "General donations" option is now in the Basics Section of Experience Setup and is listed as a "Feature" in the features section of the Basics step.
    2. Since when a user enables General donations, they are essentially enabling crowdfunding without perks, we have added information for the user to ensure that they understand that crowdfunding without perks is equal to enabling general donations. 
    3. Therefore, we have added a new state when crowdfunding without perks is enabled, we should show the "already enabled" state for the general donations shown here:
    4. General donations date setting

      1. We have moved the General donations date setting to the Basics Section.  
  2. Show the "Choose how to calculate the lottery jackpot amount" option when general donations are enabled

    1. This option is now available when general donations are enabled, so that the organizer has control over how the jackpot is calculated in this case.


Add Time and Timezone to Registration Page, Release Date: 6/27/2024

The team has added the time and time zone for the event in the registration page information box and also in the success state.

Allow Recurring Donations Option to be Disabled, Release Date: June 20th, 2024

We have added the ability for Organizers to disable recurring donations on the Experience Page and on the Donation Page.  Some Organizers only want to allow one-time donations; therefore, we will be allowing them to disable recurring donations.  See setup screenshot here.

Previously, all Experiences with General Donations enabled, and Donation Pages were required to offer both one-time and recurring donations. Adding this new setting provides our users with additional flexibility in the types of donations they can choose to accept.   

The organizer can go to this screen at any time and disable the recurring donations option even if recurring donations have already been made.  The Recurring option won’t appear in the Flat Donation modal for any future donations. 

  1. Note: In this case, we are not cancelling any future scheduled donations—the organizer will have to cancel the recurring donations themselves.
  2. Note: If the user disables the recurring donations option while recurring donations have already been made, and the Experience is still running, the application will show a warning modal to notify that existing recurring donations will not be cancelled automatically.


Improve "Seats" Column in View Package Registrations Table, Release Date: June 20th, 2024

We have updated the "Number of [Tickets]" column in the "View Package registrations" management table. Previously, exports show "2/4" which represents the number of taken spots compared to the total number of sports available on that particular group. This works well in the UI, however, when the data is exported, the "Number of [Tickets]" column is often shown as a date which is confusing for customers. 

The application now exports the data (see this column) from "2/4" to "2 of 4" for both the table and the export. This will avoid any formatting issues in commonly used programs like Excel when users export their data. 


Add Modal in Donation Page Setup for Concurrent Sessions, Release Date: June 20th, 2024

The team has added the same warning modal previously implemented for Experience Setup for concurrent user editing on Donation Pages.  This will assist organizers in preventing loss of saved work, data loss and improve application stability.  The application will now warn users in a modal when multiple users are making changes to Donation Pages.

Allow organizers to remove packages and attendees, Release Date: June 6th, 2024

The team has updated functionality in regard to removing/uninviting attendees from events. Technically, campaign admins can remove paid tickets and packages by refunding supporters. Now, campaign administrators can remove individual tickets or packages that were added manually.
  1. Added new "Delete attendee" option in 3-dot menu in "View Ticket Registrations" page
    1. See screenshot
    2. When this button is pressed, we show new modals (described below).
    3. Delete attendee modal
      1. When the organizer/campaign admin wants to delete an attendee, we'll show new modals for the following scenarios:
        1. Modal when attendee was added/bought by supporter
          1. Refunds will be handled manual per the clickable knowledgebase article.
        2. Modal when attendee uses invite link
        3. Modal when attendee is added by organizer.
      2. The "Delete attendee" button will "soft-delete" the attendee with previous logic functionality in accordance with the logic implemented here. 
  2. Improve logic for deleting attendees via the add/edit package modal
    1. We'll also want to update the add/edit package modal option here to delete an attendee. Going forward, if the ticket associated with that package was purchased (i.e., not added in management page by organizer), then the user should receive this modal as well (see screenshot).
  3. Add new "Delete [package]" option in 3-dot menu in "View Package Registrations" page, See screenshot
    1. When this button is pressed, the new "Delete package" modals will be used (described next).

      1. If the package was added by a campaign administrator, then this modal will be displayed.
      2. If the package was purchased by a supporter, then this modal will be displayed. 
        1. The help article title should be a clickable link that takes the user from the help article. The link will be taken from Partner Setup (described later).
    3. Delete all attendees on this package checkbox
      1. By default, this checkbox should be checked OFF.
      2. When checked ON, all of the attendees on the package will be deleted.  See recording here.
      3. When checked OFF, the individual attendees shall remain individual attendees and no longer associated with any package.  See recording here.
      4. This "delete all attendees" checkbox only shows when individual tickets are enabled on the Experience and the particular package being deleted has at least one individual ticket on it. 
      5. When the "Delete [package]" button is clicked, the application should delete that package in accordance with the selections made above. 


Add Columns to Ticketing and Table Exports, Release Date: June 11th, 2024

The team has updated some columns in the View Ticket Registrations data export.

  1. Added a "[ Table ] ID" column to the export, directly to the right of the existing "[ Table ]" column
    1. This now populates with the Table ID of the Table that the ticket registration is associated with
  2. If the Table Name is enabled as information to be collected for Ticketing Groups in setup, then we would like to add "[ Table ] Name" as a column in the export, directly to the right of the "[ Table ] ID" column added above
    1. This now populates with the Table Name of the Table that the ticket registration is associated with

View Table Registrations Export

  1. Added a "[ Table ] ID" column to the export in the first position.


Update Buy It Now Logic, Release Date: June 11th, 2024

The team has updated buy-it-now logic such that even auction items purchased via buy-it-now respect the per-item auction fee limit.

If a customer purchases a $10,000 auction item via buy-it-now, then the fee should cap at $100 per the setting in Partner Setup here.

Development Log Update: 5/14/2024

Updated Non-USD Stripe Fee Logic, Release Date:  5/14/2024

To continue to support multi-currency / international organizations and maintain legal compliance, the team has updated the Stripe processor fee logic for the following:

  • When fees are passed to donors (for any currency), it will always use the organization's Stripe fee configuration instead of the default Stripe fee based on country/currency.
  • To maintain legal compliance, for the following non-USD currencies listed below, the app will switch the Stripe fees from supporter/donor paying them to organizer paying the fees.   
    • Euro (EUR) 
    • Icelandic Króna (ISK) 
    • Norwegian Krone (NOK) 
    • Swiss Franc (CHF) 
    • Swedish Krona (SEK) 
    • Danish Krone (DKK) 
    • British Pound (GBP)
  • Automatically adding Stripe fees to the donor in campaign setup will not be available when a currency from the above list is chosen.  
    • Note: any non-USD currency not on this list will be allowed to select pushing fees to donors at this time.
  • A hover over prompt will appear when the passing fees to donors option is disabled stating " This option is not available when using your selected currency option."



Update Donor Profile Export Fields, Release Date: 5/14/2024

The team has added the following fields to the donor profile export:

- Address


Assign Livestream Access Code When Creating Ticket(s) in Management Pages, Release Date: 5/2/2024

When an individual ticket is created in either the 'Add ticket' modal in the 'View Ticket Registrations' page or the 'Add package' modal in the 'View Package Registrations' page by campaign admins, then a livestream access code is created for the new tickets (see screenshot) when gated live-streaming is enabled. 

The access details modal for these tickets is now available as well (see screenshot).  Previously, when a ticket is created, the livestream access code is not created for the user.  Tickets created in these management pages are now treated exactly as if they were purchased from checkout regarding gated livestreaming. 


Update Ticket Package Terminology Defaults, Release Date: 5/2/2024

The team has updated the default terminology and verbiage to address customer confusion regarding tickets.

  1. Update default terminology and verbiage of "Ticket packages" setting
    1. We have defaulted the terminology in the Ticket Registration Setup to "Table" instead of the existing "Packages" term.
    2. The "Table" term is now prioritized ahead of "Package" in the dropdown.
    3. All places in the application that use this terminology now use this new default unless changed by the organizer. The organizer can still change this setting at any time. 
    4. The main problem the team is solving is that users are not exactly 100% sure of what a ticket package is. Therefore, to tie the meaning of the setting together, we are defaulting it here to "tables" so that the users can understand the purpose of the setting.
  2. Update Column Title in "View Ticket Registrations" page
    1. This column now indicates: "[Ticket] type" where [Ticket] uses terminology from this setting in Experience Setup.
    2. The export is also updated with this change. 
  3. Update "Not selected" Verbiage in "View Ticket Registrations" Management Tables and Exports
    1. Previously, when a donor purchased a ticket package where the individual tickets on that package are not associated with a ticket type. I.e., the organizer selects "No" for this option here. Then, in the "View Ticket Registrations" page, the Ticket type column shows "not selected." 
    2. Now, the app shows "[Ticket package type] ticket" instead.  For example, if the supporter buys a package titled "VIP table," then the value in this column should say: "VIP table ticket"
    3. This change should also be reflected in exports.
  4. Add "[Table] ID" to View Ticket Registrations Export
    1. In order to establish some connections between the View Ticket Registrations table and the View Package registrations table, we have added a new "Table ID" column to the View Ticket Registrations export.   Campaign admins can easily see which attendees are a part of which tables even though they have not filled out the registration form, yet. 


Update Editing Ticket Management Functions for Group Registrations, Release Date: 4-18-2024

The following updates have been made in regard to the ticket registration and invitation process.  See video here.

The invitation is considered complete if the organizer edits the fields in the ticket in the management dashboard.  Otherwise, "pending registration" will be shown on the ticket.


Enable Name Fields For Individual Tickets By Default, Release Date: 4/16/2024

The team has made a minor change to default logic when individual tickets are enabled on an Experience.  By default, the first and last name fields are checked ON (not required but checked on). The organizer should still be able to turn them off at any time. 

This will alleviate organizers missing information as they try to manage their event/campaign. 


Add Tooltip to Dropdown, Release Date: 4/15/2024

In the Add/Edit package modal, when adding tickets, the user will want to select from the existing attendees.  Some of these values may be too long for the current user interface.  Therefore, the team has added a tooltip upon hovering so users can see the full value of each dropdown value.
